Privacy Policy

This privacy policy applies to the website the-aimi.com and the services offered through it by the AI Management Institute. It provides information about the nature, scope and purpose of the collection and use of personal data.

Additional privacy provisions apply to the learning platform at lernen.the-aimi.com and can be viewed on the respective platform.

2. Categories of Data Collected

Depending on how you use our website and services, we process the following categories of personal data:

  • Identification and contact data: first and last name, email address, telephone number, organisation, role/function
  • Application and inquiry data: information about prior knowledge, expectations of the programme, selected topics, target group and your preferred contact time
  • Technical usage data: IP address, date and time of access, pages viewed, browser type, operating system, etc.
  • Communication data: content of email inquiries or contact form messages

3. Purposes and Legal Basis of Data Processing

3.1 Provision of the Website (Server Log Files)

When you access our website, technical data transmitted by your browser is collected automatically. This data is used exclusively for the technically necessary operation and security of the website and is not combined with other data sources.

The legal basis is our legitimate interest in providing, securing and ensuring the functional operation of the website.

Retention period: Server log files are retained only for as long as necessary for operation and security and are then securely deleted by our hosting provider.

3.2 Applications for Our Programmes

If you apply for one of our programmes (AI Academy, AI Trainings or AI @ Schools) using the application form on our website, we collect the data you provide.

We use this data to process your application, contact you and organise the course.

The legal basis is the consent you give when submitting the application form. You may withdraw your consent at any time with effect for the future, without affecting the lawfulness of processing carried out before the withdrawal.

Retention period: Application data is retained for as long as necessary to process the application and conduct the programme. If no participation results, the data is deleted no later than six (6) months after the last contact. This period reflects the fact that our courses begin at intervals of several months and that you may decide to join a later cohort.

3.3 Contact by Email

If you contact us by email, we process your name, email address and the content of your message in order to respond to your inquiry.

The legal basis is our legitimate interest in responding to your inquiry. Where your contact concerns the conclusion or performance of a contract, processing is also necessary to take steps prior to entering into a contract or to perform the contract.

Retention period: Correspondence is retained for as long as necessary to handle the matter or as required by any applicable limitation periods and statutory retention obligations.

3.4 Conducting Courses and Programmes

If you participate in one of our programmes, we process your data for the performance of the contract, including organisation, communication and billing. This also includes supporting you as a member of the AI Management Institute Community for the duration of your membership.

The legal basis is the performance of the contract concluded with you regarding participation in the respective programme.

Retention period: We retain this data for the duration of the customer and membership relationship. Once it ends, we delete the data unless statutory retention obligations require otherwise. In particular, we retain invoices and business records for the statutory period of ten years.

4. Cookies and Analytics Tools

This website does not use tracking cookies or analytics or statistics tools. Only technically necessary data required to operate the website is processed.

If we use analytics tools or cookies in the future, we will provide information about them here and, where required, obtain your consent in advance.

5. Disclosure of Data to Third Parties

We do not disclose your personal data to third parties for advertising purposes and do not sell it.

Data is disclosed only to the processors listed below or where we are legally obliged to do so.

6. Processors

We use the following service providers as processors. They process personal data on our behalf and in accordance with our instructions:

  • Supabase (database for the application form and learning platform): server location Zurich, Switzerland
  • Lovable (website hosting): Processing may take place outside Switzerland; it is safeguarded by Standard Contractual Clauses and the EU-US Data Privacy Framework.
  • Resend (sending email notifications concerning your inquiries): Data is processed in the United States; the transfer is safeguarded by Standard Contractual Clauses.
  • Zoom (video conferencing): delivery of online teaching and virtual events. Name, email address, participant status and technical usage data may be processed. Depending on the configuration, data may also be processed outside Switzerland; the transfer is safeguarded by appropriate guarantees such as Standard Contractual Clauses.

All processors are contractually bound to confidentiality and compliance with data protection requirements.

7. International Data Transfers

Where personal data is transferred to countries that do not provide an adequate level of data protection, we protect your data through appropriate safeguards, in particular by:

  • entering into EU Standard Contractual Clauses (SCCs);
  • verifying whether the recipient country ensures an adequate level of data protection (adequacy decision).

In addition, personal data may be disclosed abroad in the course of communications, for example where recipients are located abroad or their communication providers (such as email providers) store data abroad.

8. Your Rights

Under applicable data protection law, you have the following rights in particular:

  • Right of access: You may ask us whether we process personal data about you and, if so, which data. As part of this information, we will tell you in particular why we process your data, how long we retain it, to whom we may disclose it and where it came from if we did not collect it directly from you.
  • Right to rectification: You may request the correction of inaccurate data. If neither the accuracy nor inaccuracy of the data concerned can be established, you may request that a note recording the dispute be added.
  • Right to erasure: You may request the deletion of your data unless statutory retention obligations, overriding interests on our part or other legal grounds prevent deletion.
  • Right to object: You may object to the processing of your data at any time. We will then cease processing the data unless there are overriding legitimate grounds for the processing.
  • Data disclosure / data portability: You may request that we provide the personal data you have disclosed to us in a commonly used electronic format or transfer it to another controller.
  • Withdrawal of consent: You may withdraw consent at any time with effect for the future, without affecting the lawfulness of processing carried out before the withdrawal.

For all requests, an informal message to dom.moser@the-aimi.com is sufficient. We will respond to your request as quickly as possible.

9. Right to Lodge a Complaint with a Supervisory Authority

If you believe that the processing of your personal data violates data protection law or that your data protection rights have otherwise been infringed, you may lodge a complaint with the competent supervisory authority. We recommend contacting us first so that we can review your concern and seek a solution. Irrespective of this, your right to lodge a complaint remains available at all times:

  • EU/EEA: The competent data protection supervisory authority in your country of residence or stay.

10. Changes to This Privacy Policy

We may amend this privacy policy at any time, particularly if our services or legal requirements change. The current version published on our website applies in each case.
